Privacy Policy
This policy explains how Dock Manager Pro handles information when companies and their authorized users use our business operations platform, public website, and support channels.
Effective date: September 1, 2026
1. Scope and our role
Dock Manager Pro (“DMP,” “we,” “us,” or “our”) provides business software for warehouse, carrier, dispatch, driver, yard, dock, appointment, load, document, and related operational workflows. This policy applies to information we handle through the DMP service, website, account administration, billing, and support.
A subscribing company generally controls the operational information its administrators and authorized users submit to DMP. In that context, DMP processes information to provide the service at the company’s direction. Companies remain responsible for their own notices, instructions, and legal basis for the information they place in DMP, including information about employees, contractors, drivers, and business partners.
2. Information we collect
- Company and account information: company name, legal or business name, company type, facilities, carrier identifiers, administrator details, account status, plan, and authorized-user relationships.
- User and authentication information: name, business email, role, permissions, invitation and account status, authentication/session records, and security events. Password authentication is provided through our authentication infrastructure; DMP does not display users’ passwords.
- Operational information: appointments, loads, check-ins, queue events, yard positions, dock-door activity, dispatch assignments, exceptions, statuses, timestamps, notes, operational history, company/network relationships, shared-load access, and related audit records.
- Driver information: driver identity and business contact details, assignments, check-in activity, operational status, carrier relationship, and information needed to complete authorized workflows.
- Documents and proof of delivery: uploaded documents, document metadata, signatures, signed proof-of-delivery records, names of signers, exceptions, and related audit evidence.
- Billing and subscription information: billing contact, selected plan and interval, subscription status, payment health, invoice references, and transaction identifiers. Stripe processes payment credentials. DMP is not intended to receive or store complete card numbers or card security codes.
- Support communications: messages, contact details, attachments, and troubleshooting information submitted to support.
- Technical and security information: IP address, browser or device characteristics, request and application logs, timestamps, session/security data, error information, and activity used to operate, secure, and troubleshoot the service.
3. Cookies and similar technologies
DMP uses cookies and similar browser storage that are necessary for authentication, session continuity, security, and user preferences such as theme selection. We did not identify an advertising-tracking or standalone product-analytics service in the current production application. If our analytics or cookie practices materially change, we will update this policy and provide any notice or choice required by law.
4. How we use information
We use information to:
- provide, maintain, and administer DMP and company accounts;
- authenticate users and enforce company, facility, role, and sharing permissions;
- support appointments, loads, check-ins, queues, yards, docks, dispatch, documents, signed POD, exceptions, and authorized company/network workflows;
- process subscriptions, maintain billing records, and provide billing support;
- respond to support requests and communicate service or account information;
- protect the service, investigate suspected fraud or abuse, and enforce our agreements;
- monitor reliability, troubleshoot errors, and improve service performance and usability; and
- comply with law, legal process, and legitimate regulatory or safety requirements.
5. How we share information
We may disclose information in the following limited circumstances:
- At a customer’s direction: to authorized users, connected companies, or external recipients when a customer uses DMP sharing or collaboration features.
- Service providers: Stripe for payment and subscription processing; Supabase for database, authentication, and related backend services; Vercel for application hosting, delivery, and infrastructure; and email, domain, security, support, or infrastructure providers used to operate DMP.
- Legal and safety reasons: when reasonably necessary to comply with law or legal process, enforce agreements, protect rights or safety, or investigate abuse or security incidents.
- Business transactions: in connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality and legal requirements.
- With consent: when the company or affected person authorizes the disclosure.
We do not state that we sell personal information. DMP does not use operational customer data for third-party behavioral advertising.
6. Payments
DMP uses Stripe to provide hosted payment and subscription services. Stripe receives and processes card and payment information under its own terms and privacy practices. DMP receives limited billing records, such as customer and subscription identifiers, plan and payment status, invoice information, and card descriptors or last-four details when Stripe makes them available. Please review Stripe’s privacy notice for its processing practices.
7. Retention, deletion, and account termination
We retain information for as long as reasonably needed to provide the service, maintain operational and audit history, administer subscriptions, resolve disputes, enforce agreements, and meet legal, security, backup, and accounting obligations. Retention periods vary by data type, customer instructions, contract, and applicable law. Deletion from active systems may not immediately remove information from secured backups or records we must retain.
Company administrators may contact support to request account closure, export assistance, correction, or deletion. Requests involving customer-controlled data may be referred to the company that controls the account. We may verify identity and authority and may decline or limit a request when retention is required or permitted by law or necessary to protect other users and the service.
8. Security
We use administrative, technical, and organizational safeguards designed to protect information, including role- and company-based access controls, authenticated sessions, service-provider controls, and operational logging. No online service or transmission method is completely secure, and we cannot guarantee that a security incident will never occur. Customers are responsible for safeguarding credentials, configuring authorized access, and promptly reporting suspected compromise.
9. International processing
DMP and its service providers may process information in the United States and other locations where they operate. Those locations may have different data-protection laws. Customers that permit users outside the United States are responsible for identifying any required transfer mechanism, notice, contract, or other compliance obligation and should contact us about enterprise data-processing terms where needed.
10. Children
DMP is a business service and is not directed to children under 13. Authorized users must be legally able to use the service for business purposes. Customers must not submit children’s personal information unless they have a lawful, documented business reason and all required authority and notices.
11. Privacy rights and choices
Depending on location and applicable law, a person may have rights to request access, correction, deletion, or other treatment of personal information. Send requests to the contact below. When DMP processes data for a customer company, the request should ordinarily be directed to that company first. We will respond as required by applicable law after verifying identity and authority.
12. Changes to this policy
We may update this policy as the service, providers, or legal requirements change. We will post the updated version here and revise the effective date. We will provide additional notice when required by law or our agreement with a customer.
